3 – Reasons to stop using Excel for Project Management

Why we should not use Excel in Project Management: – Generate reports, perform complex calculations, the Excel schedule has long proven its power and customization capabilities. Having become a “do-it-all tool”, Excel must in return respond to needs for which it is not always the best suited. This is the case in project management, and it is high time that it stops! Below this is post is all about why not using excel in project management.

Reasons to not use Excel for Project Management

  1. An Excel Schedule is not Collaborative

Although Excel allows a wide range of uses, it remains an essentially “personal” tool. Now, a collaborative application data updates in real time and distributed according to their specific interest for each team member. With an Excel schedule, it is essential for someone to centralize the data before extracting the progress of the various steps. This pyramid system is therefore poorly suited to group work, lacking both visibility and efficiency. Another important aspect is the loss of sensitive data, which is accentuated by the proliferation of files on more or less protected computers.

  1. It is not Dynamic

When working with geographically remote collaborators, it becomes essential that data and information circulate in real time for maximum efficiency, which is not possible with an Excel schedule. You want to access in a few clicks the essential data or a library of constantly updated documents, to follow the progress of the project by being able to bring possible annotations there? This is offered by most tools designed specifically for project management. To an efficient administration of resources and tasks is added a better visibility of the whole process and each of its elements through clear and precise graphics. An example is the availability of Gantt charts showing the milestones marking the crucial points.

  1. It is isolated from the other Components of Project Management

Another advantage over an Excel schedule is that you can manage multiple projects simultaneously using common resources, which saves a lot of time. Thanks to this interoperability, you have access to a real dashboard bringing together all the functionalities, from the time management to the technical resources and the highlighting of the priorities. The integration of third-party applications is another strong point of this type of software by allowing importing and export data of various origins.
