How to Write Good News Message?

Looking to learn how to write good news messages? Business communication enthusiasts may be familiar with the definition, importance, and forms of good news messages, but they might be looking to learn how to write a good news message, which put a pleasant impact on the reader’s mind. The fact is that good news is naturally pleasant, so it does not require extra time and effort to get written.

In short, writing good news messages are very convenient and there are some rules to be followed for writing an attractive letter. Generally, no one would like to spoil the goodness of the news, so the news should be written not only for informing the reader but also for creating a great impact on the reader.

There are a few things that should be kept in the mind before delivering the message. A well-organized communication is only effective when the reader provides a neutral or completely positive response.

How to Write Good News Message?

Good News can be delivered through two sources I-e oral or written. In both cases, there are a few strategies to ensure the correctness and efficiency of the news.  Most of the time, Good News Messages are prepared through the direct approach. Direct Approach is also known as Good News Plan or CBO (Communication-by-Object) Approach.

Communication By Object Approach

CBO Approach Direct Approach or Good News Plan is a strategy to inform the reader about the news along with creating an impact on the reader. Mostly, the sender uses this approach because the good news is often easy to understand and satisfying, whereas a Bad News Message is not in the favor of the reader, so it is written by an Indirect Approach. Three sections should be covered when writing good news messages through CBO Approach. The Sections are:

  • Message Planning
  • Draft Composing
  • Completing the Message

Below are some necessary steps that need to be followed while writing good news messages under the CBO approach.

Message Planning

The first section of the CBO Approach is to plan a message. Planning a Message might need some effort, but in the results, it will have an exceptional response. It contains a few steps to be followed by the reader to write the message in a professional method and grab the entire attention.

These steps include: Identifying the Object, Imagine the Audience, Pick a Method of Communication, Collect Helping Information, and Classifying the Information.

  1. Identifying the Object

You need to know the purpose of writing the message. Put a question in front and find out multiple answers; why this message is being created? Is it written for any inquiry or to inform the reader?

  1. Imagine the Audience

To get aware of this step entirely, the writer should answer the questions below and imagine the audience writing the message to the point. These Questions are or might be:

  • Who is the target Audience?
  • What is the stuff to learn and understand which will help to organize the message correctly?
  • When the audience will receive the message?
  • What will be the current location of the audience while receiving the message?
  • Why the audience will get the message as interested?
  • How can the writer learn further about the target audience?
  1. Picking Method of Communication

The writer/sender must pick a method of communication as spoken or written. Spoken Form of Communication contains various sources such as telephone calls, face-to-face meetings, videotapes, video broadcasts,s, and audio tapes. While on the other hand, the Written Form of Communication also possesses several sources like email, letter, and memorandum.

  1. Collect Helping Information

Collecting Helping Information might be proved of many benefits because it will let the sender enhance the beauty of the message.

At first, producing ideas through brainstorming, bubble writing, and nonstop writing will be better. At last, picking better ideas from generated ones and writing them will take the sender to finalize the message.

  1. Classify the Information

After completing all the above-mentioned needs, prepare an outline by using the good news strategy. Good News Strategy contains:

  • The objective of Writing the Message
  • Helping Information
  • Closing the Message
  1. Draft Composing

There are four steps to composing a draft through Communication-by-Object Approach. These four steps are as follows:

  • Choose appropriate words
  • Create professional structure
  • Put paragraphs together
  • Pick a suitable location for the paragraph

Composing Draft by Good News Strategy

Put the good news in the beginning and let it make an impression on the reader and try to avoid irrelevant or boring expressions. To make the message more effective, do write the  7 Cs of Communication and place them professionally.

Ensure lucidity by providing enough details about the news as well as including ideas that are beneficial to the reader. Write down the information which may promote the sales.

Eventually, state the conclusion with a nice statement. If possible, then allow the reader to take action and the advantage of the opportunity.

  1. Completing the Message

Finally, the good news message is ready to be delivered and receives positive feedback from the reader. Just make sure it is written decently with professional language and motivational words by applying the following activities:

  • Proofreading
  • Editing
  • Revising
  • Finalizing
