As we know that communication is the exchange of information between two parties, the sender and receivers. Both the parties are involved in the Process of Communication either its verbal or non-verbal communication. For making your communication more effective, you need to know the basic components of communication. This article is all about the components of communication, which are necessary for an effective communication process. Components of Communication also known as Communication Model. You really need to be aware of this fact. Hence communication occurs when there is a sender who sends a message and a receiver to receive it. Probably there are five components of communication involved in the successful communication process.

Components of Communication

An understanding of the process of communication makes it easy to improve the process of communication. So the process of business communication involves five components of communication, they are as follows:

  • Sender
  • Receiver
  • Message
  • Channel
  • Feedback

Sender

Sender is the person who initiates the communication process. The sender should know the techniques of initiating an effective communication process. Therefore these techniques include both verbal and non-verbal. Good writing and speaking skills, easy and understandable arguments, good eye contact, command of grammar. Along with sharing exact information are some of the techniques to be followed for effective communication. So the sender should be aware of his receiver to make changes in the message, if it is not readable for the receiver.

Receiver

Receiver is the other party who receives the message. A receiver is either an individual or the whole audience. Or the receiver can communicate either verbally or non-verbally. The best way of receiving messages is to make excellent eye contact, listen carefully and sit up straight. Just focus on the message and do not involve in any other activity else while receiving a message verbally. Moreover, give a positive response while listening to the message. In the form of nodding your head to show that you are getting the sender.

Message

It is the most crucial component of communication. There are different ways in which messages can be sent. Also they can be presentation, written documents or an advertisement. The message transfers from the sender to receiver. It is not necessary that what the sender intends to send. Although the message is what is perceived by the receiver. Therefore, the sender should not only create and send forward the message, However, also find out the ways to make the message easy for the receiver.

Channel

The message travels from the sender to the receiver through a medium that is known as channel. There are many types of channels, like speakers, newspapers, T.V, internet and radio. As in the written form it may be a magazine, book or reports, etc. For every channel there are advantages and disadvantages too. For example, a disadvantage for a written communication is that the receiver is unable to evaluate the tone of the sender. To reduce this problem, communicators send written messages clearly. So that they don’t have to rely on the message tone, and the sender sends the message accurately. One of the advantages of T.V as a communication channel is that it conveys the message. To a wide audience by some sort of editing.

Feedback

Feedback is the response of the receiver. The receiver has to give his response either by asking questions or by making comments. Feedback helps the sender to know how his message has been interpreted. Remember feedback might be positive and negative. Although even feedback is also the part business communication process.

Keys to Effective Communication

It is possible to control or overcome the above discussed communication problems. By following these given important tips, quality of communication can become better and effective. These are as under:

  • Learn to Listen
  • Use Nonverbal Signals
  • Minimize Stress
  • Have Emotional Awareness

Learn to Listen

Listening is the main and necessary part of the communication process. Feeling and understanding the senders words, messages and ideas is always important. Moreover, if you are willing, as well as ready for it then it will be good for effective communication. Use your strong listening skills by full attention and concentration. For a better listening skill, focus on the speaker or the sender and make your mind presence as much as possible.

Use Nonverbal Signals

These signals play an important role in better communication systems. The use of different nonverbal signals like postures, gestures, body language, movements. As well as eye contact or other relevant things can make the understanding process easy and simple. So believe that people can understand your message quickly and easily. All these nonverbal signals should be relevant and simple as per the requirements and trends.

Minimize Stress

Try to minimize the stress during the communication system. Through minimizing your stress, fears and other relevant issues, you can calm your mind and thoughts. Hence surely it will help you in understanding the matters effectively. Although sender and receiver both can adopt this strategy for making communication effective.

Have Emotional Awareness

This is important to make the communication process better. So that you have an awareness about emotions and feelings. Misunderstanding can create frustration, difficulty and inefficiency. Therefore try to understand the sender’s mental approach. Although sender should also try to reach the receiver’s mental level.

All these things make the communication system complete, clear and effective. So one can apply all these things for getting perfect results in your communication process.
