8 – Questions that a Project Manager Poses Everyday

The project manager is responsible for carrying out a project, monitoring its implementation and ensuring that it runs smoothly. This role involves various skills and qualities such as animating, directing and motivating the project team, making decisions, coordinating the various tasks, communicating well with project stakeholders, managing conflicts, and so on.

To accomplish all these tasks, and much more, it is essential to be able to ask the right questions every day.

In this way, you will be more efficient and will advance more effectively on your project. This also allows you to anticipate the unexpected and the risks that may arise. Finally, you will be prepared for questions from members of your team or your client.

Question that project Manager Poses Everyday

Continually in action, take the time to ask yourself these 8 questions every day so that your project proceeds as smoothly as possible.

  1. What are the tasks of the day?

This is a classic question, but it allows you to stay focused on your project and the tasks to accomplish it. You have deadlines to meet, so it’s important to stay focused on your goals. Start the day by drawing up a list of the 2 to 3 tasks you want to perform today, and start with the most important task.

  1. How can I motivate my team today?

We say it and we repeat it: the team is the keystone of a project. Without it, the project collapses. It is therefore essential that your team is motivated, invested in the project and that the members get along and work together effectively.

Your role as project manager is crucial here. At first, make sure your team knows and understand the goals to achieve. Then, maintain the motivation of your team. For example, regularly thank each of your collaborators for their work and involvement. Finally, show the example: be motivated and smiling every day, and your team will do the same.

  1. How can one be better, cheaper and faster?

Challenge yourself and try every day to be more efficient. Think about how you and your team can improve you in order to work more efficiently and intelligently. What new tools and technologies could you use? How to improve procedures? What additional benefits could you provide?

  1. What can I do for my team today?

Your team is your asset. You must take care of it, listen to it and support it. Spend time with each member of the team. Ask them how you can help them, what they need; what can you do to make them perform better.

Your main role is to avoid blockages so that your team gives the best of it and works efficiently to the smooth running of the project.

  1. Does everyone know what to do today?

As a project manager, you must be sure that your team is clear about the objectives of the day, but also about the objectives in general. Does each of your colleagues know what to do today? If they encounter a problem or are in trouble, do they know who to turn to? Do they know the next step in the project?

You can do a brief briefing of 5 minutes each morning to set the goals of the day with your team. So you’re sure everyone is moving in the same direction.

  1. Is the team focused on what is important?

Key performance indicators and procedures are required to monitor project performance. However, this should not be done to the detriment of the work on the project. It is unnecessary to spend too much time setting up KPIs (Key Performance Indicators), to understand them and to analyze them if this is done at the expense of the project itself.

  1. What have I not thought of yet?

In project management, it is difficult, if not impossible, to think of everything. However, asking yourself is a good way to anticipate the risks, unforeseen events and uncertainties that may arise, and thus try to reduce their negative impacts on the smooth running of the project. Thinking about possible problems is a good way to prepare for it, but do not obsess about it either.

  1. Do I feel good today?

This is an issue that is often overlooked, but nevertheless very important. Indeed, it is essential to feel good to be efficient and effective at work.

If you feel overwhelmed by difficulties and stress, drowned under the workload, you are no longer able to think clearly. Know that everyone reacts and resists differently to pressure, and that nobody is infallible. Being a project leader is a difficult task: the burden of responsibility and the many decisions to be taken rest on your shoulders. It’s easy to feel overwhelmed and lose control.

If you neglect your own motivation and stress, your team will feel it and this may have an impact on the project. As a first step, do not hesitate to speak to your supervisor so that he / she can support you and distribute the workload better. Then, think about taking breaks at work: go for a coffee or chat with a colleague, go out for lunch, get some fresh air and go outside. You will come back more relaxed, more focused and more creative.

There are certainly other questions to ask each day to lead your project to success. One thing is for sure: do not remain fixed on your achievements, but question yourself and constantly question yourself to be more efficient in the management of your project.
