Project management software: Ideal for Collaborative Work

By Richard Daniels Reading Time: 3 mins
Updated October 8, 2017

Collaborative work is today a term used to describe many tools: Enterprise Social Network, Electronic Document Management, Webmail, Business Intelligence. These are considered the most effective technological innovations to improve performance and collective performance . This is at least what the Google study on the adoption of collaborative work tools in the company deduces. Yet there is another type of software that is less evoked in this field, and which nevertheless promotes a lot of collaborative work: project management software. Let’s see why.

Project Management Software allows you to Collaborate, organizing your work better

Collaborative work, as the name implies, consists above all in being able to work together. We insist on the term “work” because, concretely, what does that mean and one or more persons who must carry out actions in order to achieve common objectives. And to carry out these actions is above all through a good organization of his work tasks.

Project management software is probably the one that offers the most possibility in terms of task management compared to other collaborative tools. They make it possible to visualize at a glance the tasks to be treated first, to know with whom one has to work and to be precise in what has to be done.

With Planzone for example, users can create tasks by organizing them in lists and view them in a schedule. On each task, various information can be specified:

  • Wording
  • Start date
  • End date
  • Time allotted
  • Priority level
  • Number of hours
  • But that’s not all!

Project Management Software enriches tasks with Collaborative Data

Simple task managers are able to bring this information. Moreover, many people create their “to-do list” with their calendar, their “Notes” Smartphone or even a simple posts-it. But when it comes to collaborative tasks, the project management software is undoubtedly the most effective. Do you recognize yourself in the following case?

You send an email to your manager to ask him to prepare the next weekly meeting. Once you have sent your e-mail, you realize that you forgot to attach the minutes of the previous meeting. So you send back your email. And thin, you also forgot to add the new assistant in the loop. Rebooted So…

Finding: A simple request will have forced you to do more than 6 manipulations and your assistant will have received 3 emails from you in 30 seconds.

By creating your request to leave, the task to be carried out, in the project management software, you can add to it in a few clicks:

  • One or more assigned
  • A description
  • A document
  • A discussion

Project Management Software, a real Collaborative Knowledge Base

Beyond the monitoring and planning functionalities (Planning, Timesheet, Workload), the project management software has very specific collaborative bricks, which are also found in other so-called collaborative software.

  1. Document Management

You can store all documents related to your projects and your daily work on a centralized interface. They can be organized in folders and subfolders and the addition of tags makes it easier to find them. You can also attach your documents to the tasks, events and milestones of your project so that you have everything at hand. In addition, project management software is often compatible with third-party applications such as Google Drive or Dropbox.

  1. The Discussion Area

To swap in a specific context and retrieve information more easily, you can add comments and discussions on all elements of the project: tasks, milestones, events, time sheets … Each new thread are notified in the interface. You reduce email exchanges when they concern an action to be carried out and centralize all discussions related to the project.

  1. The Wiki

The Wiki is a dynamic space that allows you to create the content of your choice and modify it as you wish. You can restrict the viewing or editing of pages by a password and enter them on the Internet via a dedicated URL. Each Wiki page can be accompanied by discussions to announce changes to the content. You share your ideas and best practices around your projects. Some project management software even has a real-time chat or an integrated videoconferencing system. For all these reasons, it can be said that the project management software really promotes collaborative work. It seems to be one of the most comprehensive tools in this environment.
